The Yvelines Departmental Council has opted for intelligent management of its car park

Since the end of 2019, the Yvelines Departmental Council (France) has been using MyCarSpot to manage its parking spaces. A look at the main features of this project, which began with the management of a 100-space car park.

The context of the Yvelines Departmental Council

The Department’s headquarters, located in the centre of Versailles, has a car park with 100 spaces for 450 staff members on this site. Until now, these spaces were allocated by name. As the car park was full, staff members were put on a waiting list to obtain an allocated space and have access to the car park. However, due to business travel, teleworking and holidays, it was not uncommon for spaces to remain unoccupied during the day!

The implementation of MyCarSpot

A call for tenders is launched in the summer of 2019 to identify the most suitable solution to manage the car park in a simple and fast way. MyCarSpot responded and was selected. The project, led by the Vehicle Fleet Department of the General Resources Department, was launched in September. MyCarSpot was then deployed in a few weeks.

The benefits

Now, more than 200 vehicles have access to the car park of the Yvelines Departmental Council in Versailles, compared with 100 previously. The MyCarSpot application, which was quickly taken up by the staff, has enabled informal collaborative use to become widespread. Some employees were already in the habit of lending a non-holder colleague their parking space in case of absence. 

« The solution is very flexible and functional. The staff who use the reservation system are empowered. They have understood the benefits and comply with the systematic reservation rule, thus freeing up places for colleagues in the event of absence. This cooperation of all parties makes it possible to increase the number of spaces. We have estimated the potential for additional availability of spaces at at least 30%. »

What next?

The solution has been extended to another 270 spaces car park of the Departmental Council in Guyancourt, a site occupied by 660 employees.
 
The application will also be used for visitor access at the Department’s two main sites.

1. Reorganise your spaces

It’s no surprise that companies have to adapt and reorganise their spaces to get their employees back on site.

The possible actions and measures are diverse:

  • defining a filling rate for the building,
  • closing certain shared spaces,
  • condemning one office out of two to open space,
  • spacing of workstations,
  • reserving offices,
  • setting up a rotation in the days each team is present…

For the person in charge of this mission, it can quickly become very time-consuming without the help of a dedicated tool.

2. Adapting the interventions of cleaning teams

Disinfection and cleaning of work areas represent a significant cost for companies, but one that is essential. On average, the cost of disinfection per m² of office buildings is estimated at between €1 and €1.50 excluding VAT. For a company with several hundred square metres, the budget can therefore rise very quickly.

Knowing which spaces were occupied and which were left empty makes it possible to disinfect only those spaces that really need it. Cleaning costs can thus be reduced considerably.

 

3. Listening to your employees

Probably the most important thing is to listen to your employees. The Covid-19 crisis had an impact on the way they organise themselves and work. It is essential to communicate with them. The company needs to understand their concerns about their return to the office, their needs, and reassure them. This means being available for them and answering their questions. Their arrival on site should be as smooth as possible.

The company must be flexible and get its employees used to coming to the site again over time. It can set up a team attendance schedule. Each team will have set days to come. This will help to recreate the social link that is difficult to maintain at a distance and to federate the teams by bringing them together. It will naturally regulate the occupation of the offices in order to respect the filling gauge. The company will thus avoid mixing teams, which allows better traceability of possible contact cases.

 

4. Re-motivating your employees who return to the office

Employees are currently operating in a climate of uncertainty and sometimes see their activity slow down. Whether they have already returned to the site or are still teleworking, it is essential for managers to reassure their teams and employees in order to motivate them. Because they need to be reassured about the health measures in place.

To do this, it is necessary to :

  • Inform: Fake news is very common during a crisis, so it is important to provide teams with concrete and clear information.
  • Listen: in times of health crisis, some employees may be anxious about the disease and fear for the health of their loved ones. These fears must be detected and heard by the manager in order to reassure them.
  • Reward: the introduction of bonuses for their efforts makes it possible to show recognition to the teams. Gift vouchers offered to employees are therefore an excellent way of showing gratitude to employees by rewarding them.
  • Co-construct: in order to prove its confidence in employees, the management team must involve them in the construction of solutions by relying on collective intelligence.

Ethics in the parking!

We wanted to talk about it: with MyCarSpot, you have the option to choose the parking allocation algorithm to make it fair!

There are two options available to clients: giving priority to the oldest requests (up to 4 weeks in advance) or giving priority to those who have obtained the least places in the last 2 months.

Ethics in the parking

Concretely this means that parking does not always benefit the same people, it is equality in sharing places.

So a user who would occasionally benefit from a parking space, a Friday because he goes on a weekend, will have every chance to get one!

As a reminder, there may be applicants for places that have priority. The new algorithm meets this criterion. There is therefore the allocation of the places to the priority applicants, according to a sorting with the seniority of the requests or the number of places obtained in the last 2 months then allocation to the non-priority users, according to the sorting criterion chosen.
